By making a booking with Shepherd's Crag Glamping you accept the following Terms & Conditions:
The Greener Camping Club
In order to comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite. The Club was established by people with a passion for sustainable, eco-friendly camping holidays. When you book your holiday with us, you will be enrolled as a member of the Club. Membership costs just £12 for the calendar year and gives you access to some of the greenest campsites in the UK. It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enroll.
Payment
We require a 20% deposit at the point of booking to secure your stay. This is non refundable. Receipt of deposit payment secures your booking. Please note that your deposit will include £12 for your Greener Camping Club membership, unless you are already a member in which case we will ask for your membership details at the point of booking. Full payment is due two weeks before your stay. If, after a reminder, we have not received your payment 13 days before your stay we will assume you have cancelled your holiday and release the dates - see below.
Cancellation by you
If you cancel your holiday less than two weeks before your arrival date and we are able to re-let your holiday for the dates you have booked, we will refund your full payment, less your deposit and Greener Camping Club membership. The Greener Camping Club membership fee is not refundable. In the event that we are unable re-let your dates, no refund will be made.
Bookings are not transferable to another family without our prior agreement in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance. Please see further info below.
Cancellation by us
Shepherd's Crag Glamping reserves the right to cancel a holiday at short notice if we are unable to provide safe accommodation or camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances, your full payment will be returned to you. We cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. The Greener Camping Club membership fee is not refundable.
Children and adults safety
There are many opportunities for play and adventure at our site. Our aim is for all guests to have a wonderful time but there are contingent risks to be aware of. These include, but are not limited to, campfires and BBQs. Also, there are lots of rocks and trees around that are dangerous to climb on. These risks are small and should be self-evident - but if you are not clear, please ask! Shepherd's Crag Glamping accepts no responsibility for injury incurred on site. Parents are responsible for the supervision of their children on site at all times. We ask that all guests do not climb on any walls, trees, gates or fences as they are there for your safety and for the safety of our livestock.
Working Farm
Our site is on a working farm with both dairy cows and sheep. Please do not walk down and around the farm buildings, there is a lot of livestock and heavy machinery and our insurance does not allow members of the public to be on the farm unaccompanied. There is a footpath which continues down the farm's drive and out onto Newbiggin Crags, please stick to the footpath and close all gates behind you. Dogs are by prior arrangement only and must be on a lead or tethered at all times.
Arrival and departure times
Arrival time is between 3pm and 7pm for glamping accommodation and 1pm and 7pm for camping accommodation. Please let us know if you think you may arrive later so that we can make suitable arrangements. On departure day, please vacate your pitch or accommodation by 11am. Please leave things as you found them and ensure that all your rubbish, recycling and compost has been placed in the appropriate containers. Please ensure that all washing up has been done and that any fires are fully extinguished.
Cars and campervans
The speed limit at Shepherds Crag is 5 mph. We permit one car per pitch/ glamping unit. Additional cars are charged at £10 and may not be able to park directly on site. Car parking spaces for each of our pitches are clearly marked. To avoid confusion please only park in your allocated space.
Consideration for others
This is a peaceful, quiet campsite where guests come to relax and enjoy the great outdoors. No music and only quiet talking is permitted after 10.00pm. Noisy visitors who disturb other guests will be asked politely to leave, without refund. If you leave the site during the day, please try to be back before 10pm. Any form of anti-social behavior or aggression towards staff or other guests will not be tolerated and you will be asked to leave immediately without refund.
EHU and use of electricity on site.
We are based on a small working farm and our electricity supply can only cope with so much demand. As such we ask guests both glamping and camping with EHU to not bring devices such as kettles, heaters, hairdryers and hair straighteners as they frequently trip the electric. This can cause the water supply to be effected and negatively impacts on the farm and other guests. Rather our electricity supply should be utilised to charge phones and other small devices.
Recycling, compost and rubbish
All rubbish must be recycled. That means separating glass, tins, plastic, paper, cardboard, food waste etc. and placing them in the designated bins. What is left, ie. only items that are not recyclable, can be placed in the landfill bin. We compost all our organic waste and ask that you place all food waste in the marked container – including left over cooked food.
Firepits
Whilst staying at Shepherd's Crag we only permit fires being lit in fire pits which are raised from the ground. Both our glamping pitches come with Kadai BBQ/ Firepits which are ideal for this purpose. If you are camping we also offer fire pits which can be rented for £10 for the duration of your stay. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy. We accept no liability for injury or damage caused by your campfire. By lighting it you accept full responsibility for it. Please make sure that all fires are fully extinguished before you leave them unattended.
Fire wood
For BBQs and fire pits, you may bring your own logs, use the logs provided by us (Pod and Touareg Tent only) or purchase wood on site. This is charged at £5 a bag. You MUST NOT collect wood from any fields or other locations around the farm.
Gas cooking facilities
Gas for the shared cooking facilities is included in the price of the booking. Please use the gas
cooker in accordance with the instructions and never leave anything aflame if you are not in attendance.
Toiletry and cleaning products
We are an off-grid site with no mains drainage so we use eco-responsible, environmentally-friendly toiletry and cleaning products on site. Please try to use our products and do your best to help us keep our site clean, safe and working in harmony with our local environment.
Chemical toilet disposal
We do not provide a chemical toilet disposable point as we are an eco-responsible off-grid site and compost all our waste. Please use the composting toilet facilities on site and use our eco-responsible products.
Day visitors
Day visitors are only permitted by prior agreement. Fees may apply.
Property loss
Shepherd's Crag cannot be held responsible for any lost or stolen property. If you leave any items in the shared facilities they are left at your own risk. Please label all items placed in the fridge.
Smokers
All glamping units and the undercover facilities are strictly NO SMOKING. If you smoke, please do it outside and dispose of your cigarette ends in the campfire or bin.
Dog policy
We welcome dogs on site, however, as we are based on a working farm we do insist that they are kept on a lead or tethered at all times due to the close proximity of livestock.
The weather
This campsite can be subjected to harsh weather conditions. Very strong winds and torrential rain can occur at any time of year. You must ensure that your tent is robust and pitched correctly. In some cases we may ask you to move to another pitch. Please note, we do not provide a refund because the weather is not to your liking. Extreme weather is covered in ‘Cancellations by Us’.

Breakages and damage
Should any damage or breakages occur, other than acceptable wear and tear, a charge for repairs or
replacement will be made. We reserve the right to charge for excessive cleaning where a pod or tent has been left in an unacceptable condition, through waste, litter, interference in the structure, movement of furniture and contents etc. Guests will be held responsible for any fire, smoke or general damage, or alteration to the structure caused by negligence.
We have worked hard to create a peaceful and pleasant holiday environment for all guests. Please help us to keep it this way and leave our site as you would like to find it.
